About the Project
Our client is a tech startup based in Miami that provides a digital solution for bus rentals. Their platform is primarily designed to serve private customers and small businesses. It helps organize short trips, events, tours, and transfers with ease.
The client’s bus software tackles one of the biggest challenges in the charter and motorcoach industry: companies now have an easy, all-in-one system for quoting, booking, dispatching, and managing mobile operations. It helps fleet operators boost efficiency and grow revenue by automating quotes, tracking vehicles in real-time, and reducing paperwork. Operators report up to 50% faster booking cycles and an apparent increase in customer conversions.
Offering real-time bus search and booking services, the bus booking software is divided into two independent applications: one for drivers and one for customers. The key functionality includes:
Branded, embedded quote widgets for website lead conversion.
Real-time availability and automated dispatch.
Mobile dispatch and tracking for drivers.
Integrated ticketing, payments, and route optimization.
Instant fare calculation.
Push notifications and status updates.
Offline data synchronization.
Customer and trip management via cloud-based admin tools.

Client Request
Turning to Lumitech, the client was focused on solving the following technical issues:
Replace fragmented systems with a single, unified bus charter booking software platform with securely consolidated data.
Develop an MVP of the bus booking software as the first step to a scalable, well-functioning system that seamlessly facilitates the needs of operators, drivers, and travelers.
Automate time-consuming manual workflows: replace endless calls and spreadsheets with intelligent automation.
Empower staff with mobile-first tools to help drivers stay informed, managers stay in control, and trips run smoothly.
Maximize bookings through user-friendly quoting and online checkout to increase conversion rates and reduce abandoned requests.
Maintain branding control through white-label experiences.
Approach
Lumitech’s first priority is building a connection between teams. Thus, we set a smooth relationship with the company CEO, who was originally from Israel and moved to the USA as a child, having lived in New York and Miami. This was the first step in understanding the mutual impact on the development of bus charter booking software.
Working with engineering teams, the client focused on fostering a corporate culture built on proactivity and individual contributions to business success. The company regularly organized team-building activities to support this approach and keep employees equally engaged in developing bus charter booking software – something our team had to adapt to quickly.
Based on the above, we developed the project in iterations, soft-launching it, collecting feedback from real users and drivers, implementing changes, and addressing bugs. Such an approach enabled us to quickly test hypotheses and avoid overloading the charter management software with unnecessary features that added no value.
We understand that developing solutions in a specific niche requires expert knowledge. We worked closely with subject matter experts and operators to delve deeper into the specifics of charter bus management software development, delivering top results.
Research operator pain points Our first step was to analyze the key difficulties that bus operators encounter: inefficient quoting, scheduling conflicts, and rate fluctuations. We conducted a series of interviews with business representatives to understand their daily processes, identify bottlenecks, and inform the development of system requirements.
Design modular workflows Based on the collected data, our team developed a flexible architecture with independent modules, ranging from online booking and bus management to driver dispatch and real-time route tracking. Such an approach enabled us to easily scale the bus management software to meet the needs of different operators and add new features without disrupting key processes.
Develop responsive admin and mobile driver apps We developed a web-based admin panel for complete control over bookings, transportation, and fares. Additionally, the team developed a mobile application for drivers that provides real-time route information, updates, and trip statuses. We optimized the interfaces of both apps to ensure a smooth launch on any device and facilitate seamless process management.
Launch iteratively, guided by user feedback and real-world usage data We launched the system in iterations. After each release, we collected feedback from real users and, based on this feedback, improved the functionality, interface, and efficiency. We achieved stable service operation before full deployment and ensured its maximal correspondence with the real needs of drivers and operators.

Core Features
Lumitech provided mobile app development services utilizing React Native and Expo. However, back then, Expo didn’t fully meet our needs due to limitations in bundle size and scalability.
Our team was engaged in the UI/UX design and product support. Additionally, we were responsible for backend integrations, maintaining the architecture, testing functionality, and implementing all new features. Following the launch, the primary focus was on providing product support and enhancing services.
Here are the core features our team delivered:
Embedded Quote & Booking Widget: Seamlessly convert website visitors into quoted leads and paying customers. Online card and ACH checkout included.
Smart Dispatch Tools: Visual conflict detection, real-time tracking, and driver schedule oversight from both desktop and mobile interfaces.
Integrated Ticketing & Bundling: Offers online ticket sales, intelligent capacity planning, and white-labeled reservation management.
Mobile App for Staff & Drivers: Enables schedule viewing, trip updates, and route tracking, all on the go.
Technologies Used
Backend: Node.js, NestJS, PostgreSQL
Infrastructure: AWS (EC2, S3), Docker, GitHub Actions
Integrations: CharterUp API, Google Maps SDK, Stripe
Frontend / Mobile: React Native CLI, React Navigation, AppCenter
QA: Postman, Jest
Challenges
Engaging in the Project from MVP to a Full-Featured Solution: Creating a pilot product version and turning it into a full-scale system without delays.
Automating Manual Processes: Eliminating redundant quoting, booking, and communication steps while keeping branding intact.
Data-Driven Dispatching: Building tooling that balanced vehicle capacity, driver schedules, and customer preferences.
Performance & Usability: Ensuring that embedded widgets and mobile apps were optimized for speed and reliability.
Scaling React Native: Expanding the app to support multiple drivers and ensure stable performance on low-end Android devices.
